  • Overview

    The Department of Emergency Medicine is looking for someone to join our residency leadership team in the role of Residency Program Coordinator.  The Residency Program Coordinator is an administrative position that supports thirty (30) resident physicians as they complete a rigorous three year program of advanced training in emergency medicine to qualify them for specialty board certification and independent clinical practice. The position reports directly to the Residency Program Director.

    Responsibilities

    1. Directs the work flow and supervises the necessary administrative paperwork, records, and complex filing systems to support the residency program. 
    2. Collects, organizes, and maintains residency data and performance metrics. 
    3. Prepares Residency Training Verifications and letters of recommendation for current and former residents. 
    4. Ensures and maintains confidentiality and security of all residency files; Ensures compliance with ACGME, RC, and local GME policies (with appropriate documentation) and participates in re-accreditation process. 
    5. Manages residency recruitment: Develops recruitment materials and prepares for recruitment activities (e.g., residency fairs); updates and submits program data  (e.g., to EMRA match); uses Electronic Residency Application Service (ERAS), FREIDA, and NRMP Match; facilitates communication with applicants; compiles and organizes applicant data; schedules and facilitates interviews; and participates in rank list meetings.
    6. Coordinates orientation of new residents, including institutional system training and access and familiarization with institutional policies.  
    7. Oversees the credentialing process for initial appointment, reappointment, and termination of residents and fellows. 
    8. Ensures residents maintain compliance with current licensing and institutional requirements; Ensures that schedules comply with ACGME/RC guidelines. 
    9. Administers In-Training Exam; schedules and coordinates mock oral examinations and other in-house written examinations for resident assessment.  
    10. Assists chief residents and the program director in creation and oversight of residents' clinical curriculum. 
    11. Monitors resident Continuing Medical Education (CME) funds. 
    12. Assists with departmental level human resources functions pertaining to the residency program, including leave, travel, payroll, benefit, and other personnel issues.
    13. General office support duties (shared among department staff), including but not limited to: scheduling meetings, greeting guests, processing mail, answering telephone, scanning, photocopying and faxing.
    14. Provides high-level administrative support to the residency leadership team.
    15. May perform other duties as assigned.

     

    Qualifications

    Minimum Qualifications:

    Bachelor's Degree plus two (2) years of administrative experience OR a High School Diploma/GED plus six (6) years of administrative experience

     

    Preferred Qualifications:

    • Experience in Graduate Medical Education or Medical Education Administration
    • Scheduling and/or credentialing process experience
    • Self-motivated team player with excellent communication and organizational skills
