The Administrative Coordinator provides primary administrative support for the Specialty Nurse, CSM, APN, Genetic Counselors and MFM physicians of the Arkansas Fetal Diagnosis and Management (AFDM) and UAMS Prenatal Diagnosis/Genetics Clinic. His/Her duties include assisting with patient care coordination/appointments/insurance authorization, maintaining office clerical, laboratory, and educational supplies, acting as a primary contact for referring physicians and patients/families utilizing our clinical services and participating in data collection and extraction, and management of our AFDM database.

Salary offered commensurate to experience.



  1. Ensures clinical reports/notes reach referring providers, patients, and EPIC/EMR as needed/directed.
  2. Maintains schedules of returning patients with appropriate records and new test results; Schedules appropriate specialty consults with healthcare providers at UAMS and ACH.
  3. Enters and extracts data into/from AFDM database.
  4. Ensures patient and laboratory materials are up-to-date and in good supply.
  5. Assists in the development and maintenance of new patient education literature and website information; assists with development of educational power point presentations, as directed, for faculty and staff; and assists the specialty nurse in coordination and execution of biweekly multidisciplinary case conferences.
  6. Assist with obtaining financial/insurance authorization for additional testing/procedures.
  7. Mails out packets/information to patients.
  8. May perform other duties as assigned.


Minimum Qualifications

  • Bachelor's degree in general business, public administration or a related field plus three (3) years experience in administrative assistance, registration, scheduling or related field OR High school diploma/GED plus seven (7) years of experience in administrative assistance, registration, scheduling or related field
  • Experience in database entry and computer programs such as Microsoft Word, Excel, and Power Point

Preferred Qualifications

  • Prior administrative experience/knowledge in maternal infant healthcare
  • Prior use/experience with Electronic Medical Records (EMRs)


  • Must communicate accurately and professionally with other members of the AFDM/Prenatal Diagnosis teams
  • Provide extensive phone and one on one interaction with patients, physicians, visitors and other medical professionals
  • Accountable for promoting a user friendly service in a professional and confidential manner
