    The Student Clerkship Coordinator will provide administrative support for the Emergency Medicine M3, M4 Clerkship, Ultrasound Fellowship Program, and Residency Program. Support to departmental leadership in other functional areas as time permits.

    Responsibilities

    Clerkship Coordination Duties: Work closely with the physician who is the Clerkship Director to coordinate training for up to 100 3rd and 4th year medical students. The clerkship coordinator will assist in reviewing applications from medical students, extending invitations to successful candidates and onboarding the rotating students. Duties include scheduling lectures and clinical assignments, and distributing, collecting and grading evaluations. Assistance in preparing letters of recommendation. The coordinator will be the “first line” liaison with students. The coordinator should exhibit strong interpersonal skills, be able to deal effectively with all levels of personnel, show discretion, and exhibit problem solving and conflict resolution skills. They should be proficient in bookkeeping, record maintenance, the utilization of various software packages, report development, and data analysis. They should exhibit knowledge of medical and adult education and the institution’s academic calendar. Must stay abreast of curricular goals, policies, and standards for the clerkship. Some students will be from other schools and will require coordination through the Visiting Student Application Service. Provide support to the Emergency Medicine Interest Group.

     

    Ultrasound Fellowship Duties:

    Provide administrative support to the Ultrasound Director and assist with the training program for two ultrasound fellows.

     

    Residency Program Duties:

    Assist Residency Program Director and Residency Program Coordinator with resident onboarding and checkout, new academic year preparation, curriculum development, residency training verifications, letters of recommendation, meal cards, and leave tracking. Maintain call, block, rotation, and conference schedules. Assist chief residents in oversight of residents’ clinical schedules. Help ensure compliance with ACGME and local Graduate Medical Education policies. Assist with residency recruitment, interview season, itineraries, receiving and organizing applicant support documentation, and ERAS system entry. Works with New Innovations records keeping software, resident and faculty  evaluations, and maintain program directors calendar. Helps plan events such as residency leadership retreats, and the annual residency graduation banquet. Assist with development and maintenance of the department’s website.

     

    Purchasing and Travel:

    Oversees purchasing and travel arrangements for the residency program. Ensures that purchases and travel expenditures are made in compliance with state and institutional guidelines, and in a fiscally responsible manner.

     

    Data Analysis and Metrics:

    Assist the Department Administrator and faculty leadership with data analysis, metrics, and reporting on an as needed basis. Utilize a variety of software packages in fulfillment of these tasks.

                                     

    Qualifications

    Bachelor’s Degree plus 2 years of administrative or program coordination experience OR High School diploma/GED plus 6 years administrative or program coordination experience required.

     

    Preferred Qualifications:

    • Student Affairs and/or Graduate Medical Education experience
