The Administrative Analyst (AA) provides a full range of administrative, clerical and office support for the Department. The AA will also work cooperatively with Service Line staff in order to maintain UAMS standards of first class patient care.

Faculty Administrative Support Duties:
Perform administrative duties and job functions under the minimum supervision of faculty members and direct supervisor. Duties include but are not limited to: Managing Faculty calendars and schedules to include clinical, and educational time as well as other time sensitive meetings. Maintains faculty scheduling routines to know when they are available and when not. Actively problem solves scheduling issues. Update CV’s in FacFacts. Assist with preparation of P&T packets as needed, prepare letters of recommendation, assist with reappointment paperwork as needed. Conduct & prepare literature searches using UAMS library services and the Internet as requested to support faculty scholarly and clinical requirements. Enters call schedule into On-Call System as needed. Set up meetings, coordinates functions, prepare agenda and take minutes as needed. Assist with preparation of daily correspondence as needed. Coordinates faculty travel, makes reservations, completes itineraries, processes reimbursements according to UAMS policy. Assists faculty when IT support is needed. Provides data entry support on Faculty items as needed. Maintains faculty licensure and credentialing in an up to date and paid manner. Performs literature and pub med searches in support of faculty and academic mission.
Division/Department Administrative Duties:
Perform duties and functions under minimum supervision as needed to maintain office operations. Duties include but are not limited to: Process travel and purchasing in SAP and in compliance with UAMS and State policies; make travel arrangements and process travel reimbursements; prints/provides faculty status of division budget and e-fund status; manages encumbrances & maintains current status; assures timely licensure, dues and society payments as needed; validates items are processed and/or cleared timely; runs reports in SAP to identify outstanding items; distribute incoming mail; screen and answer calls in a professional and timely manner. Properly route incoming communications to correct source; manage division property by keeping assigned list up to date and accurate; maintain office equipment in working order; order office supplies as needed. Files and retains documents.
Other Duties as Assigned:
Special projects, assisting with support in divisions across the department as needed. Participating in departmental staff meetings and presentations. Participating in department performance improvement initiatives. May support other divisions in the department as needed. Other duties as assigned.
High School diploma/GED plus 5 years administrative experience OR Bachelor's degree in Business or related field plus 1 year of administrative experience required.
