  • Overview

    The Access Coordinator II will provide clinical and administrative support to the Neurology faculty, nursing staff, research staff and other administrative personnel. Tasks will include patient intake, reporting data, and providing on-site clinical administrative support. The successful applicant will assist a team of physicians, nursing staff, other clinical providers and administrative personnel in the coordinator of care of Neurology patients. The position requires interacting in a professional manner at all times with internal and external stakeholders, patients, families, and staff. The Access Coordinator II will be personable, professional, highly organized and have the ability to multi-task and take direction in a busy, clinical office environment.

    • Develops procedures for managing patient intake by gathering patient health information and ensuring completion of required forms resulting from phone calls and faxes coming to the Neurology Section.
    • Contacts Neurology sections clinical and admin personnel as appropriate.
    • Assists clinical staff in gathering data and contacting outside agencies for information as requested.
    • Calls all patients to confirm clinic appointments before the appointment date.
    • Processes patient charts including sending clinic notes and other records to be scanned into the EMR, faxing clinic notes to the referring provider and mailing clinic correspondence to the patient. 
    • Generates a telephone interaction in EPIC for each patient phone call that the office receives, and forwards this information to the appropriate nurse/provider. 
    • Responsible for taking off any voice mail calls, calling patients back and sending messages or patient to nursing staff.
    • Responsible for pulling faxes off Fax Folder and sending to appropriate nursing staff.
    • Consults and coordinates with other support staff to ensure work processes are completed within the required timeframe on a daily basis. 
    • Works cooperatively with clinical staff and other support staff.
    • Provides back up for other support staff as needed. 
    • Requests/scans patient records as needed. 
    • Perform general office duties such as sorting and distributing mails, making photocopies, etc.
    • Other duties as assigned by the Office Manager


    High School diploma/GED plus 2 years of administrative or customer service experiece required.Must have basic computer & keyboarding skills, telephone etiquette, and general knowledge of office machines including printers and scanners.


    Knoweldge, Skills & Abilities:

    • Must have organizational skills.
    • Proficient Microsoft Office skills.
    • Must have excellent comprehensive communication skills (written, verbal, active listening etc.)
