  • Overview

    The Access Manager manages the day to day operations of an Access unit within the Integrated Revenue Cycle (IRC). Responsible for unit performance that meets or exceeds the unit standards as developed by the IRC director and Integrated Revenue Cycle Officer. Position reports directly to an IRC department director. Position will comply with all IRC, Integrated Clinical Enterprise, and UAMS policies and will ensure that direct and indirect reports comply as well. The Access Manager will serve as an advocate for enhanced revenue cycle performance within the unit. The position will also supervises staff and ensures all Office of Human Resource policies and regulatory guidelines are followed. Responsible for ensuring unit provides the highest level of customer service. Responsible for sharing on-call responsibility with other Access managers including off hours when needed.

    Responsibilities

    • Manages the day to day operations of their assigned scheduling, registration, and/or authorization unit. Staffs personnel to meet the departmental needs.
    • Prioritizes workload daily and adjusts staffing model as needed to ensure adequate coverage.
    • Monitors staff performance through various methodologies including monthly quality/productivity audits. Establishes performance standards with department director.
    • Identifies relevant trends by reviewing available reports and initiates process improvement activity when warranted.
    • Accepts ownership for initiating new or enhanced process improvement projects once sanctioned by the department director.
    • Ensures all departmental, IRC, ICE, and campus policies are followed within the unit.
    • Responsible for staff hiring, new employee on-boarding, employee evaluations, annual training, facilitates staff development, provides employee coaching and progressive discipline when necessary. 
    • Personally reviews all unit patient complaints and actively seeks resolution and/or service recovery. Monitors patient satisfaction benchmark tools and in conjunction with the department director, develops action plans accordingly.
    • Demonstrates knowledge of individual responsibility and ensures staff preparedness following established Joint Commission standards and facility safety and emergency preparedness standards. 
    • Ensures that adequate staffing coverage is maintained to support the Call Center with office hours coverage (7:30 a.m. to 5:30 p.m.).
    • Manages scheduling teams to meet expectations for referral turnaround time, call statistics, quality and customer service. Works closely with Service Line leadership to reduce barriers to scheduling and ensure a great patient experience.
    • Develops, implements and maintains formalized training plans for ABC access personnel.   

    Qualifications

    Bachelor’s degree in Healthcare or related field plus 5 years’ experience in patient scheduling, registration or billing OR a high school diploma/GED plus 9 years’ experience in patient scheduling, registration or billing. Must have 2 years supervisory experience. CHAA certification preferred. Must have CHAM certification within 1 year from date of hire.
