    The Medical Services Administrator directs day to day operations of the Divisions by implementing division, administrative, and campus policies and procedures to attain goals and objectives. This position will make administrative recommendations to Division Director and Department Administrative staff in accordance with Department goals. This position is  responsible to Division Director with secondary responsibility to Department Administrator. The Medical Serviced Administrator will be the primary liaison between the Division and Dept. Administration, Campus Admin. support units, outside agencies, and the community.

    • Directs and coordinates all financial activities for the Divisions to include development and maintenance of annual budget (state funding, grants funding, clinical trials, sharing agreements, and clinical income). 
    • Responsible for all financial procedures and records.  
    • Monitors all division accounts for immediate reporting to Director and Department Administrator at all times.     
    • Directs and oversees Divisions staff, interviews and hires, schedules work hours, assigns duties, maintains leave records, signs time sheets, evaluates work performance, and makes recommendations for personnel actions. 
    • Trains and assists all personnel by informing/clarifying requirements, procedures and guidelines for operations. 
    • Offers technical assistance, guidance, and makes referral to other sources of expertise.  
    • Works with UAMS Immigration Services to coordinate visas/waivers for faculty and staff members as needed. 
    • Educates faculty and staff on policy changes and ensures compliance training.
    • Develops financials and facilitates faculty recruiting through the JFR system. 
    • Maintains FacFacts system information and Annual Report for Divisions, develops and maintain faculty FTE’s in FacFacts.
    • Facilitates submission of grant renewals, providing budget development and compilation and ensuring compliance with submission standards.  
    • Ensures grants funds are expended in an appropriate manner. 
    • Maintains communication with Grants Accounting, ORSP, NIH, and other granting agencies.
    • Develops and prepares financial, operating and overall status reports for Division Directors, Internal Medicine and Dean’s Office as requested.  
    • Variance analysis performed monthly. 
    • Maintains communication with Medicine Business Office, Personnel Office, Accounting Office, and Billing Office.
    • May perform other duties as assigned.


    Bachelor's degree in Business Administration or related field plus 5 years of business administration experience OR Master's degree in Healthcare Administration or Business Administration plus 3 years of business administration experience required.


    Knowledge, Skills & Abilities:

    • Experience with computer systems and the ability to work with medical professionals.
    • Organizational/leadership skills needed plus experience in budgeting and maintenance of financial records along with variance analysis.
    • Supervisory, accounting, computer, & word processing skills required.
