    Shift Requirement:

    Monday & Tuesday - 8:00am - 7:00pm

    Wednesday & Thursday - 8:00am - 5:00pm

    Friday - 8:00am - 12:00pm

     

    The Administrative Analyst works under the supervision of the Children at Risk Office Manager by providing administrative support for daily program operations. The Family Treatment Program (FTP) provides treatment services to victims and their families as well as offenders of sexual abuse. The Administrative Analyst performs a variety of administrative functions related to patient registration, appointment verification, and receiving and processing incoming calls and faxes. The Administrative Analyst is expected to be able to assume the functions of every member of the Family Treatment administrative staff team, to provide cross coverage as needed. This position has financial administration responsibilities, including purchasing, contract billing, and serve as a point of contact for external agencies who have also been contracted with. This position is responsible for maintaining the FTP Victim side client information Microsoft Access Database. The Administrative Analyst interprets agency/institution administrative directives, policies and procedures to ensure consistent application and provides a high level of customer service.

     

    Salary: $29,251

     

    This is a provisional position. Provisional positions are funded by external grants or contracts with established end dates. When the grant expires or is not extended, the provisional position will be eliminated. Employees in provisional positions may apply for other positions at UAMS when their provisional position ends.

    Responsibilities

    1. Works collaboratively with other staff to schedule appointments for FTP Clinic. Monitors front desk waiting room as needed.
    2. Obtains Primary Care Physician (PCP) referrals for clients and authorizations for assessment and/or treatment.
    3. Verifies client insurance.
    4. Submits private and/or secondary insurance.
    5. Sets up case files.
    6. Schedules treatment plan review staffings.
    7. Types and mails out various letters requesting referring information. 
    8. Communicates with Outside Agencies and Insures Completeness of Client Paperwork Notification of appropriate agency, and other referring parties regarding client status, requesting information as needed.
    9. Coordinates and tracks completion of forms, progress reports, treatment plans, and discharge plans within time frames indicated.
    10. Database and Billing Administration Analyzes and coordinates database information.
    11. Maintains and updates database from client status reports.
    12. Prepares weekly staffing schedules.
    13. Processes contract billing through DHHS PIE billing system, Medicaid, and insurance billing.
    14. Works effectively with UAMS and ACH departmental contracts and various outside agencies to meet common goals and objectives.
    15. Provides department administrative support to include telephone backup, ordering supplies and travel requests as needed or assigned.
    16. Prepares various contract reports weekly, monthly, quarterly, semiannually, and annually of each contract data described by performance indicators of contract files.
    17. Perform other duties as assigned.

     

    Qualifications

    Bachelors degree in Business or related field plus 2 years experience of administrative experience OR High School and 6 years experience of administrative expedience required. Experience in a medical clinic setting preferred.

     

    Knowledge, Skills & Abilities:

    • Must be proficient in Microsoft Office.
    • Must be able to type at least 30 words per minute with accuracy.
