  • Overview

    UAMS Head Start/Early Head Start currently serves 928 children at 16 sites throughout Pulaski County.  The program’s overall goal is to increase the social competence of children in low income families and children with disabilities, while improving the chances of success in school. Head Start/Early Head Start addresses the needs of the whole child including the educational, vocational and material needs of the entire family.  The program strives to enhance children’s physical, social, emotional, and cognitive development while enabling parents to be better caregivers and teachers to their children. Head Start/Early Head Start helps parents meet their own goals while giving children a head start in life.

     

    The Administrative Specialist III, responsible for coordinating office activities, researching and preparing special reports, and developing, revising, and recommending administrative policies and procedures as directed by supervisor. ASII, for UAMS Head Start/Early Head Start also serves as the primary administrative support for the Director and Administration and other special projects as assigned.

    Salary: $26094

    Responsibilities

    • Serves as administrative support for the Program & Program Director including but not limited to processing and data entry of interviweing and hiring staff & entry of in-kind, providing receptionist and telephone coverage when necessary, and scheduling/logistics of professional development. 
    • Assists with the processing of enrollment paperwork and data entry, preparing and delivering mail/Fed-Ex, assisting with the planning, organizing, and coordinating of section projects, functions, meetings, events, and program monitoring. 
    • Works with the Content Area Specialist in the organization and implementation of staff development and other assigned activities. 
    • Maintains agendas, drafts meeting/conference call minutes, governance meetings and materials, presentations, monitoring reports, and employee files.  
    • Develops, organizes, and oversees the enrollment files of all children applying for services within the program. Work closely with the Family, Community, Partnership Resource Specialist and the ERSEA Manager for the processing of enrollment files upon entry into the Data Management System. 
    • Keeps records up to date and current for Federal and State auditing.    
    • Oversees the development and implementation of the Special Projects by planning, organizing and conducting the outreach to various organizations and businesses. 
    • Maintains records and details of the processes utilized to implement the projects and works with the Chief Financial Officer in processing funding through the Foundation. 
    • Coordinates the publicity of the Special Projects and work with the UAMS Communications and other departments throughout UAMS.  
    • Provides information, assistance and clarification to concerned individuals and the community concerning the Head Start/ Early Head Start Program. 
    • Completes other project duties as assigned.

    Qualifications

    Minimum Qualifications:

    • High School Diploma/GED PLUS four (4) years of administrative experience OR Bachelors Degree in Business Administration or related field
    • Intermediate proficiency in MS Office (Word, Excel and Outlook)
    • Must be proficient in the use of office machines including printers, faxes, computers, and telephone.

     

    Preferred Qualifications:

    • Experience working in a medical or healthcare environment
    • Human Resources background/experience
    • Kronos experience 
    • Childplus knowledge/experience
    • ICIMS (MyCompass) Experience

    This is a provisional position. Provisional positions are funded by external grants or contracts with established end dates.  When the grant expires or is not extended, the provisional position will be eliminated.  Employees in provisional positions may apply for other positions at UAMS when their provisional position ends.
