  • Overview

    The Assistant Customer Service Manager position will be under the direction of the Service Manager, assists service manager with supervision of trouble calls and assists with direction on all repair of all assigned disciplines in campus facilities/buildings, in support of healthcare, education, and research programs on the UAMS Campus.  They support the service manager in working closely with all customers to provide a high level of service in the implementation and repair of Engineering & Operation’s products.  They assist the service manager with high priority/profile architectural and roofing repairs as well as assist with scheduling work of service personnel with in-house maintenance crew and on-call contractors related to repairs.

    Responsibilities

    •  Assists service manager in supervision of service personnel in providing support for the healthcare, education, research and outreach programs on the UAMS Campus. 
    • Assists the service manager in supervising and assigning employees in the repair and operations of all disciplines in support of all campus facilities/buildings. 
    • Schedules daily work efforts and ensure proper integration of work with that of maintenance crew and on-call contractors where applicable. 
    • Develops all necessary documentation to contract with outside vendors/contractors to provide support for areas where assigned shops are lacking in personnel, skills, or tools/equipment to accomplish assigned tasks. 
    • Prepares budget for areas of responsibilities (shop and associated employees) to be included in the overall Engineering & Operations Department budget.
    • Responsible for professional quality and workmanship in all work performed by assigned staff and or shop personnel. 
    • Provides clear instructions for each employee, including quality control/assurance on all maintenance, repair, and or new work. 
    • Quality workmanship is the standard.  
    • Drives to work sites and monitors all work in progress in responsible areas to ensure proper permanent, long-term quality of craftsmanship and appropriate communication with customers and other campus departments. 
    • Monitors work in progress for conformance with as-built plans and specifications, and to provide resolution of problems that arise.
    • Uses sound hiring practices, including prewritten interview questions, always calling references, consulting with Human Resources officers as needed, and complies with all hiring and Affirmative Action policies and procedures.
    • Follows safe work practices, communicates effectively, displays customer service skills consistent with mission and values.
    • Responsible for ensuring that all work is performed in accordance with the National Electric Code (NEC), National Fire Protection Association (NFPA), The Joint Commission (TJC) and all applicable local, state and federal codes, standards and  regulations in a cost effective manner. 
    • Provides training for employees in related disciplines. 
    • Monitors training programs for employees to ensure regulations, rules, policies and procedures are implemented.
    • Reads and interprets blueprints to determine material and manpower requirements needed to complete service work.  
    • Responsible for performing job tasks from written or verbal instructions given by the Service Manager. 
    • Ensures employees complete Engineering & Operations work orders correctly and legibly and that all material utilized on a job is priced and charged out correctly. 
    • Conducts time and material estimates for Engineering & Operations Work Orders. 
    • Completes all work schedules for the personnel under his/her supervision. 
    • Responsible for assigning and prioritizing jobs to ensure that the highest priority jobs are completed in an expeditious manner. 
    • Ensures proper use and maintenance of shop inventories and equipment.
    • Responsible for establishing long and short-term goals for self and employees and subsequent development of plans and procedures to achieve them. 
    • Ensures maintenance of performance records on each employee that clearly supports annual performance evaluations scores.
    • Ensures the proper training and wear/use of appropriate safety equipment and clothing for staff in responsible areas.

    Qualifications

    • Associates Degree in Business or related field plus 5yrs experience facility construction or facility maintenance management.
    • Valid Drivers License
