    The Program Coordinator position is essential to the efficient operations of the Department of Anesthesiology for Scheduling and Leave/payroll management. The position coordinates a variety of activities such as prepare daily Anesthesiology assignments schedule and coordinate with Surgery Scheduling office the assignment of Anesthesia faculty, CRNAs, and resident physicians, and medical students in main ORs, One Day Surgery, Jones Eye Institute, etc.

    Salary offered commensurate with experience


    • Prepares daily Anesthesiology assignments schedule and coordinate with Surgery Scheduling office the assignment of Anesthesia faculty and resident physicians, and medical students in main ORs, One Day Surgery, Jones Eye Institute, etc. 
    • Compiles faculty and resident call into call schedule document and publish each block/month. 
    • Updates and publish with changes as necessary. 
    • Compiles faculty roster, updating and publishing, as changes occur, in an accurate and timely manner.  
    • Analyzes scheduling patterns in these documents and bring inconsistencies or conflicts to the appropriate person’s (Office Manager, Chief Resident, etc.) attention. 
    • Provides administrative support for assigned faculty physicians and CRNAs. 
    • Trains new CRNA and faculty physicians on SpinFusion scheduling software. 
    • Monitors faculty and CRNA calendars in SpinFusion, processing/approving requests per scheduling guidelines, or as directed. 
    • Enters leave times for all faculty physicians in SpinFusion daily and pull leave time reports and verify accuracy of calculations of points/dollars. 
    • Acts as backup on the departmental web site, faculty leave order, telecommunications requests/issues, facility issues in the 2nd floor offices, mail, main departmental phone coverage, and radiation badges.  
    •  BACKUP DUTIES ONLY: Grand Rounds, CME, Medical Students,
    • Lectures: Assist Program Directors in all aspects of recruiting for the Summer Preceptor-ship student program. 
    • Coordinates schedules for the Summer Preceptor-ship students. 
    • Primary backup for Junior and Senior Medical students from UAMS, as well as out-of-state students, through the Surgical Sub-specialty, Introduction to Clinical Anesthesia, and Critical Care programs.  Coordinate high school student tours hosted by UAMS Office of Diversity Affairs.
    • Registering Conferences with the American Association of Nurse Anesthetists (AANA) so that CRNAs will be awarded CME credit for attendance. 
    • Track's CRNA attendance to these conferences and reporting attendance to the AANA so that the appropriate CME credits are given. 
    • Obtains goals and objectives, and disclosures, from each speaker for the weekly Grand Rounds and Case Conference. 
    • Enters this data into the RSS database so that the Conference attendance code may be generated. 
    • Prepares Session Announcements so that they are in compliance with CME guidelines, publish and post session announcements. 
    • Prepares of sign-in sheets for conferences. 
    • Attends weekly UAMS 6am Grand Rounds and 7am Case Conferences, in order to ensure all required processes are in place.  
    • Gathers all evaluations and input this information into New Innovations following conferences. 
    • Reconciles attendance based on sign-in sheets and call-ins (with the assigned conference code) to the UAMS CME office. 
    • Records attendance in the appropriate databases. 
    • Makes room reservation annually for the departmental Tuesday morning Grand Rounds and Case Conferences, arrange catering for these events, as needed. 
    • Coordinates  In-Service training for resident and faculty physicians ensuring adherence to University guidelines governing these events. 
    • Compiles/publishes Departmental conference and lecture schedules.     
    • Assists in Administrative Support for the Anesthesiology Dept (30+ faculty) such as handling the department phone line, maintaining distribution lists and department phone lists, point of contact for troubleshooting issues with office equipment (copiers, faxes, printers), initiator of IT help-desk and campus work order requests, and general administrative support for efficient operation.
    • Other Duties as Assigned.


    Minimum Qualifications:

    • Bachelor’s degree with two (2) years of administrative experience  - OR - High School diploma/GED and five (5) years of administrative office experience  
    • Intermediate use of Microsoft Office products: Word, Excel, PowerPoint

    Preferred Qualifications:

    • Experience with SpinFusion, SAP and Kronos.
